- Opening — name the programme or role and give one sentence about who you are now.
- Why this programme or organisation — two or three specific reasons: modules, research groups, projects or values you checked on their website.
- What you bring — studies, work, projects or volunteering that prove you can succeed. Prefer one concrete example over a list of adjectives.
- Your goals — where you want to be after the programme and how it gets you there.
- Closing — thank the reader, mention the documents you attach and offer to discuss your application.

When a form gives you a small text box or a strict word limit, keep the same five parts in a few sentences each.
Dear Admissions Committee,

How long should a motivation letter be?
Format and layout
- Use the same font and header as your CV so the application looks like one set. The builder does this automatically.
- Add a clear subject line, for example “Motivation letter — MSc Data Science”.
- Send a PDF unless the portal asks for Word. Name the file with your name and the document type, for example Alex_Morgan_Motivation_Letter.pdf.
- An optional thin page border can make a printed letter look finished; you can switch it on under Page border & watermark. Leave the watermark off for the version you send.
Mistakes that weaken a motivation letter
- Repeating your CV line by line instead of explaining why.
- Generic praise (“your prestigious university”) with no specific reason.
- Sending the same letter to several programmes with only the name changed.
- Going over the length limit or ignoring the questions the programme asked.
- Typos in the programme or professor’s name.

How long should a motivation letter be?
One page, usually 250–500 words. If the university, funder or employer sets a word or page limit, follow that limit exactly.
Who needs to write a motivation letter?
Students applying for bachelor’s, master’s, PhD and MBA programmes, exchange and scholarship applicants, volunteers, people applying for training programmes or student visas, and job seekers in countries such as Germany, France and the Netherlands, where employers often ask for one.
What should a motivation letter include?
Your contact details, the date, the recipient, a subject line, a greeting, five short parts — opening, why this programme, what you bring, your goals and a closing — and a formal sign-off with your name.
Can I reuse one motivation letter for several programmes?
Reuse your notes, not the letter. The “why this programme” and “goals” paragraphs must be rewritten for each application, because admissions teams look for reasons that only fit their programme.
Should a motivation letter be signed?
A typed name under the sign-off is enough for online applications. Add a handwritten or scanned signature only if the programme asks for a signed letter or you are sending it on paper.
